What is Lotus Notes?

Lotus Notes is a dynamic email package used within VCUHS. Within Notes, there are capabilities to send and receive email, attach files, create a personal address book, and request read receipts. Additionally, calendar options allow you to maintain an electronic calendar as well as initiate meetings, and check the availability of your co-workers.

How do I obtain a Lotus Notes account?

To obtain a Lotus Notes account, you must submit a signed LAN Request Form which may be obtained from the IS Help Desk or by clicking here. Once the form is submitted and approved, you will be contacted for training. Training is required and it is in class that you will receive your Lotus Notes account information.

Does everyone at VCUHS have a Notes account?

Each request for Lotus Notes is individually reviewed for consideration. Unfortunately, not every is approved. Currently, only employees replacing staff previously had Notes accounts are being added.

The Notes server is operating at maximum capacity. This is not an ideal situation and we understand the challenge it creates. But, if new users continue to be added, it will overload our current server capacity.

Where do I go when I'm having technical problems?

The Information Systems Help Desk is available for assistance Monday - Friday from 6 a.m.  - 12:00 midnight, and Saturdays 7 AM- 3:30pm. their number is 828-6447. After hours, you  can may contact  RJE for assistance.24 hours a day, 7 days a week.

Is online help available?

Yes! There are two online sources for help. The first is displayed on the Lotus Notes Workspace and is an icon, or box, labeled "Frequently Asked Questions". This database allows users to view and post questions. Questions are reviewed and answered daily by our Notes System Administrator. 

Additionally, there is a Help menu located on your tool bar at the top of your screen. To access online help:

  1. Click Help; and then click Help Topics. 
  2. Click on the topic appropriate to your needs.

What if I forget my password?

In this age of passwords, it is understandable that they occasionally get forgotten. If this should happen, please contact the the IS Help Desk at 828-6447. They will request a new password for you. You will be notified once the new password is established. Due to security issues, you will be required to pick your password in person.

Do I need any other security to access Lotus Notes?

Notes is housed on the network and as such, requires a Novell user id to gain access. If you do not have access to the network, request both a Novell account and a Lotus Notes account on the same LAN Request Form (LARF). If you currently have access to the network, simply submit a new LAN Request Form requesting a Notes account.

I'm not at my desk, can I still get to my email?

Since Lotus Notes works off of the Novell server, you may access your mail anywhere within the organization. The key to it is to get to log on under your user id. If you are going to another area of the building, log off at your normal workstation. Then at your temporary location, log back on as yourself. Once you have successfully signed in, you will have access to your Notes account as if you were at your own desk!

Can I access email from Home?

For most users, access to Lotus Notes outside of the VCHHS campus requires a dial up connections to what is referred to as the "5300" If you require remote access and do not have an account on the 5300, please complete a LARF and fax it to 828-6132.
